A bot collects ratings after a service, but a low score stays in the report without a support ticket. A customer describes a problem, receives “Thank you for your feedback” and does not know whether anyone will resolve it.
Feedback collection should connect to a working process. It needs a verified service stage, clear questions and handover to an employee when someone asks for help.
Choose the timing and subject of the rating
Specify what the customer assesses: a completed consultation, installation, delivered result or a project stage. Payment and deal creation do not always confirm service completion.
Trigger the survey from an event in the operational system, considering the language and the customer's connection to the service. If work is rescheduled or unfinished, do not ask for a rating of a completed result.
Define the ability to contact the customer through Telegram and sending conditions when they connect. A survey should not become a reason for unagreed advertising messages.
Prepare short, unambiguous questions
Choose a scale and explain its end points. If one question rates speed, quality and communication together, the resulting score is difficult to use for decisions.
After the rating, offer an optional comment: what helped, what caused difficulty or what should improve. Do not require a long text to complete the survey.
Add an “I need help” action regardless of the rating. A high score does not rule out a technical question, while a low one does not explain the problem without context.
Retain the connection to a specific service
Record the response with the service or enquiry identifier, stage date, question version and language. Do not automatically apply the score to all of the customer's services.
For a repeated response, define whether it updates the previous answer or concerns a new stage. Repeated delivery of an event should not create several identical records.
Show the customer only necessary context. Status and order linking principles are described in the article on a post-purchase bot.
Pass requests for help to an employee
An enquiry needs an owner, working status and an agreed response time. Report its ticket number only after successful creation in the support system or CRM.
Pass the service stage, rating, comment and conversation history. Do not require another problem description if the customer has already provided it. The process is covered in the article on handing a conversation to a manager with context.
Illustrative example. After confirmed installation completion, the bot asks the customer to rate how clear the instructions are. The customer gives a low score and says they cannot use one feature. The bot registers a help request, passes it to an employee and explains the next steps without independently promising resolution by a particular time.
Assess responses alongside problem handling
Track invitees, respondents and the rating distribution. An average score from a small active group does not describe all customers' opinions, especially if people with different experiences do not respond.
Compare the same stages, questions and observation periods. Record changes to the scale or wording in the report; otherwise, a difference can be mistaken for a service improvement.
Separately assess tickets created, response time and confirmed problem resolution. Identify a repeat question after assistance as assessing a new stage, without replacing the original feedback.
A service feedback workflow record
- Service stage, completion event and sending conditions.
- Verified customer, language and permitted channel.
- Question, scale and optional comment.
- Help request action available for every rating.
- Result recording and repeated response handling.
- Responsible employee, context and ticket statuses.
- Response report, sample limitations and assistance outcome.
For Telegram bots and Mini Apps, prepare an example of a completed service, the questions and the support route. The bot's usefulness depends on the ratings collected and what the team does with the message received.
