Reels featuring employees: roles, approval and filming arrangements

An employee is invited to “say a few words”, but arrives to find they must explain a service, demonstrate a process and remember a long script. Work is interrupted, the participant becomes nervous, and the team does not get the footage it needs.

Filming with employees requires clear roles and preparation. Agree participation, actions, factual review and the use of the finished material in advance.

Assign roles around the video task

Decide who explains, who demonstrates an action and who confirms that the process is correct. Not every specialist needs to become a presenter.

Choose a format that suits the participant: a short statement, a question-led interview, work on camera or a voice explanation. A useful demonstration does not always need a speech delivered directly to camera.

Do not give someone a role or expertise they do not have. Their caption must reflect their actual work, and the prepared script must use verified information.

Agree participation and image use

Explain the task, intended channels, advertising use and approval process. The participant should know in advance what is required and where the material will appear.

Check participation in filming and permission to distribute the material separately, considering the applicable rules and employment relationship. An employment contract cannot be treated as universal permission for any use of a person's voice and image. Differences in context and jurisdiction are discussed in the WIPO guide to personality rights.

Define a process for questions, declining a particular format or changing future use. Documenting permissions does not replace respectful communication and realistic working conditions.

Prepare lines and actions

Give the participant the video's purpose, main questions and brief talking points. Do not demand that they memorise a long advertising script when you need a natural explanation.

Run a short rehearsal without recording or with a trial take. Preparation is covered in the article on speaking on camera; the same principles can be applied to an employee.

Illustrative example. A technical specialist demonstrates one inspection stage, a manager explains the customer's next step, and the relevant team lead checks the script's accuracy. One person should not have to demonstrate a complex action while remembering a long line.

Organise location and working time

Agree the time, access, clothing, required objects and whether an action can be repeated. Account for the team's regular work and appoint a coordinator.

Check noise, light, background and information visible in the frame. Use demonstration materials instead of client documents and screens containing restricted information.

Do not change a safe working procedure for a striking shot. Prepare the location using the article on filming in an office, shop or production facility, and agree any special actions with the person responsible at the site.

Assign review and version management

Separate the review roles: a specialist checks the facts, the participant checks how they are represented, and the offer owner checks the meaning and next step. An appointed person makes the final decision.

Set feedback deadlines and collect one consolidated set of comments. Do not gather independent edits to multiple copies without identifying the version.

Check that editing preserves the meaning of the employee's words and does not create a false impression of their actions. File organisation and approval are covered in the article on reviewing a Reels series.

A participant filming record

  1. The video's purpose and the employee's actual role.
  2. Participation format, talking points and actions to demonstrate.
  3. Time, location, objects and coordinator.
  4. Use channels and the status of required permissions.
  5. Process restrictions and confidential information.
  6. Reviewers, deadlines and the feedback procedure.
  7. Approved version and person responsible for publication.

Discuss team participation through the Reels production proposal. Provide the list of roles and available processes. Preparation should allow employees to show their work calmly while maintaining factual accuracy and the agreed scope of use.
