A new employee receives dozens of links: instructions, contacts, policies and meeting recordings. A week later, it is difficult to know which materials are current, what has been completed and where a mentor's help is needed.
A Telegram bot can organise an introduction to the job: provide the next stage, accept a response, remind the employee about a task and pass a question to a person. First, describe the onboarding programme and the outcome of each step.
Build the path around the job role
Separate company-wide information from materials for a specific position. A warehouse employee, sales manager and production specialist need different tasks even if the introduction is shared.
Define the order of stages and dependencies. For example, a work process demonstration may begin after access has been granted and a mentor meeting has taken place. The bot should not require a task before the conditions for completing it exist.
Assign a material owner and someone to help with difficulties for each stage. Document rules, roles and completion criteria using the principles of a Telegram bot specification.
Prepare current materials
Each document or assignment needs a title, version, language, review date and person responsible for updates. Links should lead to approved sources, rather than arbitrary copies from conversations.
Keep large files and restricted materials in a corporate system where appropriate, using the bot for navigation and reminders. When a document is replaced, define who needs to review the change again.
If the bot answers from a knowledge base, retain the connection between the answer and an authorised source, and an option to contact a mentor. The approach is described in the article on an AI bot using company knowledge; generating an answer does not automatically confirm that an instruction is current.
Verify the employee and access boundaries
Link the Telegram account to an active employee record through a controlled invitation and confirmation. A profile name or a shared code from a work chat does not prove company membership.
Check the role before providing restricted material. Moving departments, changing positions or leaving employment must change access, including old buttons and saved links.
Define which progress information the employee, mentor and manager can see. Do not publish individual results in a shared group without necessity and an agreed data handling process.
Distinguish receiving material from mastering a task
An “I have read this” button records an employee's statement but does not prove understanding or the ability to perform the work. For an important stage, provide a question, practical assignment or mentor confirmation.
Illustrative example. A sales manager reads the enquiry registration instructions, completes a training scenario using demonstration data and receives mentor review. The system separately records material delivery, assignment submission and confirmed completion.
Do not equate this workflow with mandatory training, certification or legally significant acknowledgement without checking requirements for the particular work and market. If formal documents are needed, define a separate process for preparing them.
Organise reminders and help
A reminder should account for the work schedule, deadline and action already completed. Stop repeated messages after completion; if the programme changes, clearly explain the new task.
When someone struggles, pass the stage, question and completed actions to the mentor. Do not make the employee retell the whole path or close the stage merely because they have not replied for a long time.
Identify the main record system: an HR platform, learning system or agreed database. The bot should confirm a saved result and, on failure, report a pending state instead of falsely showing completion.
An onboarding stage record
- Job role, purpose and starting conditions.
- Approved material, version and language.
- Available actions and completion criterion.
- Who reviews the result and where it is stored.
- Deadline, work schedule and reminder rules.
- Mentor, handover context and help on failure.
- Material updates, repeat completion and access withdrawal.
Discuss the path, permissions and integrations through the Telegram bots and Mini Apps proposal. Prepare several records for actual stages to define a first version the team can maintain after launch.
