Referrals and offline contacts: tracking them in marketing and your CRM

A customer heard about the company from a partner, met an employee at a trade fair, later found the website on Google and submitted a form. Analytics may show a search visit while the sales representative records a referral. Both observations are useful, but they describe different parts of the journey.

To assess marketing, keep the technically recorded enquiry source, the customer's account and contact history separate. Referrals and offline activity then remain visible in reporting, while website data is not overwritten with guesses.

Separate the visit source from the reason for choosing you

The technical source shows available information about a visit or enquiry channel. The customer's answer can explain where they first heard about the company and what prompted them to get in touch now.

Do not equate a direct visit with a referral. Google explains that (direct) / (none) in GA4 is associated with the absence of a clear referral source and can have various causes. Official documentation on direct traffic.

In the CRM, distinguish three questions: how the enquiry arrived, how the customer knows the company and what led to the current discussion. Different answers do not necessarily mean a tracking error.

Prepare clear CRM fields

To begin, save:

  • the enquiry date and persistent identifier;
  • contact method and available technical source;
  • how the customer says they learned about you;
  • the event or partner, if known and needed for the work;
  • a short customer explanation;
  • the owner, next step and final status.

Add an “unknown” value and distinguish customer statements, system data and employee assumptions. Do not fill a gap with the name of the most visible campaign.

One contact may attend several events and later send a new request. Preserve the history by linking specific enquiries to deals. The main entities are covered in the article on advertising and CRM sales tracking.

Ask without pressure or leading the answer

The question can be part of a short conversation: “How did you hear about us?” Then, if necessary, ask: “What helped you decide to get in touch now?”

Do not require the referrer's name when it is unnecessary for the task or the person does not want to disclose it. “A partner recommendation” may be enough. Prepare a small category vocabulary in advance and allow a free-text explanation.

If you ask in a form, do not let this question prevent submission. “I found you online” should not automatically be recorded as paid advertising or SEO: the detail is still unknown.

Make offline materials distinguishable

For an event, partner material or printed flyer, prepare a separate link or QR code with agreed tags. These show use of a particular link but do not prove the customer's entire preceding journey.

Check where the code leads, whether it scans from the finished material and whether parameters are preserved through to the enquiry. Do not include names, phone numbers or other personal details in tag names. The vocabulary and process are covered in the article on UTM tags for business.

After an in-person meeting, record the agreement and next step. Receiving a business card, agreement to a conversation and a proposal request are different contact states. Do not treat a bulk mailing to collected addresses as an automatic continuation of every meeting: define an appropriate communication scenario in advance.

A hypothetical example of a mixed journey

Suppose a customer met the company at an industry event. A week later, a partner confirmed its experience, and the customer then arrived through organic search and requested an estimate.

The enquiry record can retain “organic search” as the technical source, “event” as the source of initial awareness and “partner recommendation” as a decision factor. There is still only one deal.

If a report assigns sales by technical source, it will appear under search. If the report describes stated reasons for choosing a supplier, the recommendation will appear separately. These two views cannot be added together as two independent sales.

A referral and offline contact report template

  1. Event or partner activity and its period.
  2. Costs, including materials and team time.
  3. Unique contacts and separate enquiries.
  4. Sources from system data and customer statements.
  5. Suitable requests, next steps and completed deals.
  6. Unknown sources, duplicates and unfinished discussions.
  7. The attribution rule used to report sales.

Compare activities over comparable periods and at similar stages of deal completion. High revenue among people mentioning an event does not yet prove that the event generated all those sales as additional business.

To include referrals and offline activity in the channel and evaluation plan, discuss the task through our market research and strategy service. Prepare the activity list, anonymised enquiry examples and current CRM rules; technical integrations are estimated separately.
