Someone clicks an ad, opens a chat and sends a short message. If the employee does not know which offer brought them there, or the reply takes too long, a convenient transition does not become a useful enquiry.
Before launch, prepare the route from the first message to the next action: a quote, booking, order or specialist conversation. This channel's results depend on both the advertising and the team's handling of the chat.
Check which channel customers actually use in the target market and where your team can respond. The destination chat should belong to the business, have a clear name and give access to the responsible employees.
For example, Meta offers Facebook and Instagram ads that open a conversation with a business on WhatsApp. The official description of ads that click to WhatsApp.
For another messaging app, separately check available advertising journeys, optimisation goals and measurement capabilities. An ordinary external link and a native advertising format may have different settings and reporting.
Decide why the conversation is needed. If customers can buy independently, chat should help them choose rather than create a compulsory manual queue. For a complex service, it can be the first step in clarifying the task. Other routes are compared in the article on Meta lead forms and landing pages.
Explain what people will receive after contacting you: an availability check, preliminary estimate, selection advice or booking. Do not promise an immediate consultation if staff only respond during business hours.
The first reply should confirm the subject of the enquiry and offer a simple next step. Do not start with a long questionnaire or ask people to repeat everything in the ad.
Hypothetical service template: “Hello! You contacted us about website development. To suggest the next step, could you tell us whether you need a new website or changes to an existing one? If you already have a website, you can send us the link.”
If the team is unavailable, explain the actual response process. An automatic greeting does not replace a consultation and should not suggest that an employee has already reviewed the request.
Initial qualification usually needs:
Questions depend on the offer. Asking about budget makes sense where it affects the available solution. Request a full address, documents and other detailed information when they become necessary.
Ask questions in sequence, using the customer's answers. The selection principle is covered in the article on qualifying leads through a Telegram bot. The logic can be used in another chat, but technical capabilities need a separate check.
Before launch, decide:
The receiving employee needs the advertised offer, customer task, answers already collected, promised next step and previous agreements. A change of representative should not make the customer start again.
If a bot is involved, provide a clear route to a person and define when automated replies stop. The principles of preserving context are covered in the article on handing a conversation to a manager.
Opening a chat, starting a conversation, making a suitable enquiry and completing a sale are different stages. Ad setup should match the chosen goal, while business evaluation should include the later outcome.
Save the available enquiry source, offer, owner and final status. Another message from the same person does not always mean a new lead. If the source is unknown, keep that visible instead of assigning a campaign at random.
For an international team, also check response languages and the ability to serve the market. A chat in the right language does not compensate for unsuitable delivery or service terms.
Start with one offer and a clear handling process. After the test, identify where people drop out: before sending a message, while waiting, during qualification or after the quote. This helps select a specific improvement.
The advertising journey can be discussed through our advertising setup and management service. For an estimate, prepare the offer, chosen messaging app, working hours and an example of your current enquiry process.
