CRM notifications are useful when they help an employee take a specific action on time. If every deal change triggers a message, important notifications get lost among routine updates.
Start with events that have an owner, a deadline and a clear response. The CRM should remain the source of the working status, with Telegram drawing attention and providing a route to action.
For an initial version, consider:
For each event, ask who needs to act and what happens if the message is not sent. If the purpose is simply to provide an overview, the event can often go into a digest.
Define the source of payment confirmation and other statuses separately. A manual CRM entry and a payment provider's confirmation may mean different things. The data to transfer is covered in the article on synchronising an online store, CRM and inventory.
For every rule, record:
Recheck the CRM state before a delayed send. If the enquiry has already been handled, an old reminder must not suggest that the work is still overdue.
Send individual tasks to their owner and queue updates to the group that handles the queue. Direct integration errors to people who can fix them.
Do not publish full contact details, documents or conversations in a broad working chat. A message can contain the enquiry number, reason and a link to a record with access checks. Group membership alone must not authorise every CRM action.
For an ordinary bot, private contact with an employee requires a prior user action. Employees should start the bot during onboarding; when they leave or change roles, access to notifications and actions should be removed. Rules for communicating with bots.
An integration may deliver the same change several times. Define an event identifier and reprocessing rule so one event does not create a stream of identical messages.
Separate immediate alerts, working reminders and digests. Keep overnight notifications for events that genuinely require a response and have someone on duty. Agree on the recipient's time zone and working schedule.
Telegram limits message sending rates. Provide a queue and handle rate-limit errors; the retry_after field may specify how long to wait before another request. Bot API documentation.
Treat a send retry and a reminder to a person separately. The first addresses a technical failure, while the second is triggered by the task's state.
A successful response to a message send does not confirm that an employee read it or completed the task. Use a separate action recorded in the CRM to accept an enquiry.
If a message has an “Accept enquiry” button, the system checks the user and current record status. Assignment must remain unambiguous when two employees click at the same time. Show success only after the change is confirmed.
If Telegram or the CRM is unavailable, important events should remain in a log or queue. Agree on a fallback notification method for critical processes; failure of the main channel must not be reported only through that same channel.
A company receives enquiries and distributes them among managers.
Check duplicate events, owner changes, tasks closed before a reminder, revoked access and failures in both systems. Measure acceptance times, unhandled tasks, sending errors and unnecessary messages, rather than total notification volume alone.
For automation with a Telegram bot and Mini App, prepare event cards, roles and example CRM records. In the commercial proposal, agree on integrations, queues and ongoing support; verify which events and actions your CRM supports.
